MOTION BY MACHINE · LEGAL

Privacy Policy

Effective October 14, 2026

Motion By Machine LLC ("Motion By Machine," "we," "us") runs motionbymachine.com. This policy explains what information we collect when you visit our website, contact us or book a Leak Audit, how we use it, and the choices you have. If you become a client, the data in your business systems is covered by your service agreement and our Client Data & Security Policy.

01Information we collect

Information you give us

  • When you contact us: your name, email address, the subject and your message.
  • When you book a Leak Audit: your name, email address, phone number (optional), business name, business website, and what you tell us about your business and where it loses time or money. You can also add notes and guests.
  • When you pay us: billing details needed to send and collect an invoice. Payments are handled by our payment processor. We never see or store full card or bank account numbers.
  • When you call, text or email us: your phone number or email address and what you send us.

Information collected automatically

When you visit our website, our website host (Squarespace) automatically records basic technical details: your IP address, browser and device type, the pages you view, the site that referred you, and the date and time of your visit. Squarespace uses cookies to count visitors and sessions so we can see how the site is used. Our booking page (Cal.com) collects similar technical details when you use it.

02How we use your information

  • To answer your questions and reply to your messages.
  • To schedule, prepare for and hold your Leak Audit.
  • To send invoices, receipts and appointment reminders.
  • To follow up about services you asked about.
  • To understand how visitors use our website and improve it.
  • To protect our website and business from fraud and misuse, and to meet legal and tax requirements.

We do not sell your personal information, and we do not use it for anyone else's marketing.

03Text messages and calls

If you give us your phone number, we may call or text you about your inquiry, your booking or services you asked about. We send marketing texts only to people who have agreed to receive them. Message frequency varies, and message and data rates may apply. Reply STOP to stop receiving texts at any time, or HELP for help.

We do not share your mobile number or text-messaging consent with third parties or affiliates for their marketing or promotional purposes. Mobile information is never sold, rented or shared for marketing.

04Who we share information with

We share information only with service providers that help us run our business, and only what they need to do their job:

  • Squarespace, which hosts our website and contact form.
  • Cal.com, which runs our booking page and appointment reminders.
  • Our payment processor, which sends invoices and handles payments.
  • Our email, phone and business software providers, which carry and store our messages and records.

These providers may only use your information to provide their services to us. We may also share information if the law requires it, to protect our rights or safety, or as part of a sale or merger of our business, in which case this policy continues to apply to it.

05Cookies and tracking

Our website uses Squarespace's cookies that keep the site working and count visitors. We do not use advertising cookies or ad-tracking pixels, and we do not allow advertising networks to track your activity across other websites through our site.

Some browsers send a "Do Not Track" signal. Because we do not track visitors across other websites, our site does not change how it works when it receives one. You can block or delete cookies in your browser settings; the site will still work.

06How long we keep information

  • Messages and booking details from people who do not become clients: up to 2 years, then deleted.
  • Client records: for as long as we work together, then as described in your service agreement.
  • Invoices and payment records: as long as tax and accounting laws require.

07How we protect information

We use reasonable safeguards to protect your information, including encrypted connections, two-step verification on our business accounts and access limited to authorized Motion By Machine personnel. No website or online service can be guaranteed 100% secure, but if a breach affects your personal information, we will notify you as the law requires.

08Your choices

  • See, correct or delete your information: email us and we will respond within 30 days. We may need to keep some records the law requires us to keep.
  • Emails: every marketing email we send includes a way to unsubscribe.
  • Texts: reply STOP at any time.
  • Cookies: block or delete them in your browser settings.

09Children

Our website and services are for businesses and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has sent us information, contact us and we will delete it.

10Where your information is stored

We are based in the United States, and our website and service providers store information mainly in the United States. Some providers may process it in other countries under their own privacy and security commitments.

11Changes to this policy

If we change this policy, we will post the new version on this page and update the effective date at the top. If a change materially affects how we use information we already have, we will tell you before it takes effect.
